Knowledge Base and Notification Centre Overview

Your repository for critical information and documentation

The Knowledge Base module in Prestartr serves as your central repository for critical information, empowering your team with easy access to essential documentation and vital alerts. This module is organized into two main areas: 

Knowledge Base and Notification Centre.


Knowledge Base:

  • Articles: Manage and access all user-created articles here. 
  • Article Groups: Organize your articles logically within the "Article Groups" subsection. 
  • Risk Register: The "Risk Register" provides a detailed list of all your pre-set Job Safety Analysis (JSA) and Safe Work Method (SWM) Risks. These risks are configured within the Prestartr "Catalogue" module. 
  • Test Register: The "Test Register" offers a customizable list of items that can be set up directly within this subsection using the "Edit" function. See Managing the Test Register for more details.

Notification Centre:

  • Daily Notifications: Setup notification when a form or entity reaches a set threshold, such as expiry date. 
  • Work Order Notifications:  Setup notifications when a Work Order Task has a predefined amount of labour booked against it via Time log.

Managing Daily Notifications

The Notification engine runs daily, sending email alerts based on your specific form or entity setup.

Notifications from this setting will be sent from notifications@prestartr.com.


To add a new Notification, click the Add icon in the top right.

Enter the Name in the name field, select the Contacts to Notify, and the specific message you want to be in the email notification.

The Notification type can be set to either Form or Entity.

 


A common example for Form is a Training Record.

When setting up a Form Notification, you select the Form Template, set any Rules, and select the Columns of information to display.

In the example to the right, this will display a soon to expire Training Record form.

  • Linked Entity (Name of User)
  • Form Status (Draft/Submitted)
  • Certificate/License/Course Name
  • Course Provider
  • Expiry Date

To Edit a notification, click the Edit pencil.

To Delete a notification, click the Rubbish icon.


Configuring Notification Rules

Notifications can be configured based on specific Forms or Entities (People, Jobs, Plant, Companies, or Work Orders).

When a rule is met, the system triggers a notification message to designated contacts, which can include customized columns of data.

Understanding Rule Operators

Before configuring your fields, it is helpful to understand how each rule operator works:

Text & Value Operators

Contains: The field contains the specific value entered.

Does Not Contain: The field does not contain the specific value entered.

Begins With: The field begins with the specific value entered.

Does Not Begin With: The field does not begin with the specific value entered.

Ends With: The field ends with the specific value entered.

Does Not End With: The field does not end with the specific value entered.

State Operators

Selected: The checkbox was selected (checked).

Not Selected: The checkbox was not selected (unchecked).

Empty: Only triggers if the specified field has no value.

Not Empty: Only triggers if the specified field contains any value.

Date Operators

Static: Triggers based on a specific, fixed date condition. Options include: Equals, After, On and After, Before, Does Not Equal, and Between X and Y dates.

Relative: Triggers based on a rolling timeframe relative to today. Format uses + or - a number followed by D (Days), W (Weeks), M (Months), or Y (Years). (Example: -14D triggers relative to the last 14 days).

Expired: The current date is after the date set in the field.

Not Expired: The current date is before the date set in the field.

Form Notifications

To create a form notification, you must first select a form template. After selection, you can apply rules based on the specific fields within that form.

How Form Notifications Work

Once the system validates the ruleset, it sends the notification message to the specified contacts. You can include additional data columns in the notification:

Form Metadata: Form name, Linked Table, Linked Entity, Creation Date, Last Modification Date, Owner, Form Group, Form Status, Form Template Name, and Zone.

Form Template Fields: The specific data entered into the fields on the form.

Entity Notifications

You can trigger notifications based on changes or conditions within specific entities: People, Job, Plant, Company, and Work Order. The rules available depend entirely on the entity and field chosen.

Managing Work Order Notifications

In the Work Order Notification section, enter the percentage threshold that you would like to trigger an email notification. This percentage is linked to the Quantity Used on a Work Order Task.

When a Time Log is entered against a Work Order Task, it will send a notification if it passes the set threshold.

In the Contacts to Notify drop-down, select any number of relevant contacts.

Click Save to update your Work Order Notification preferences.
